This policy explains what personal data we collect when you use this website or place an order, why we collect it, and your rights. We handle your data in line with UK data protection law (UK GDPR and the Data Protection Act 2018).

Who we are

Elite Brandworks Ltd is the "controller" of your personal data.

What we collect

• Order details: the products, options and quantities you choose.
• Contact and delivery details: your name, email address, phone number and delivery address.
• Artwork: any logo or design files you upload.
• Payment status: whether your payment was completed, and the payment reference. We do not receive or store your bank login details or card number.
• Emails you send us and our replies.
• Basic technical data needed to run the site securely, such as your IP address, held for a short time in server logs.

How and why we use it

We do not sell your data. We do not use it for advertising or send marketing emails unless you have clearly asked us to.

Your artwork is used only to produce your own order. We do not use it for anything else.

Who we share it with

We only share what is needed, with organisations that help us run the shop:

• Payment provider (Fena): to take your payment by bank transfer.
• Hosting and order storage (Netlify): our website and order records are hosted on Netlify's infrastructure.
• Email services: to send order emails to you and to run our business email.
• Production and delivery partners: printers, makers and couriers who need your artwork, name, address and phone number to make and deliver your order.
• Professional advisers, authorities and the law: accountants, and public bodies where we are legally required to.

Some of these providers may process data outside the UK. Where they do, we rely on safeguards required by UK data protection law, such as the UK's approved transfer mechanisms.

How long we keep it

• Order and accounting records: 6 years from the end of the financial year they relate to, as required for tax purposes.
• Uploaded artwork: kept only as long as needed to produce your order and deal with any problem with it, then deleted.
• Emails and enquiries: kept for as long as needed to deal with your query, and normally no longer than 3 years afterwards.

Cookies and similar technology

This site does not use advertising or analytics cookies. It uses your browser's local storage only to remember your basket and to help show your order confirmation. This is strictly necessary for the shop to work, so no consent is required, and you can clear it at any time in your browser settings.

Your rights

Under UK data protection law you have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct data that is wrong or incomplete;
• ask us to delete your data, though we must keep some records (see "How long we keep it");
• ask us to restrict, or object to, how we use your data;
• ask for your data in a portable format, where it applies.

To use any of these rights, email sales@elitebrandworks.co.uk. We will reply within one month. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.

Security

Our website uses encrypted connections (HTTPS), and access to order records is restricted. No system is completely secure, but we take reasonable steps to protect your data.

Changes to this policy

We may update this policy from time to time. The latest version is always on this page, with the date it was last updated shown at the top.
